Rental Policy

Our Policies

RESERVATIONS REQUIRE A TWO NIGHT MINIMUM EXCEPT IN JULY AND OCTOBER WHEN A THREE NIGHT MINIMUM IS REQUIRED. HOLIDAY WEEKENDS REQUIRE THREE NIGHTS EXCEPT THANKSGIVING WHICH REQUIRES A FOUR NIGHT STAY.

  • RESERVATIONS

    - There are no check-ins or check-outs on Thanksgiving or Christmas Days as our office is closed. You must provide a credit card to secure this reservation request. When booking your reservation you are required to pay 50% down at time of booking and the remaining balance is due 14 days prior to arrival. Each reservation is subject to a non refundable service fee which varies depending on the size of the house. This service fee includes a hot tub fee, maintenance of the property, and administrative costs. If you do not want to use your credit card online, you must call the office to make the reservation. Guests must stay in the same chalet seven consecutive nights to get the seventh night free. Rates are subject to change without notice. Confirmed reservation rates will be honored. In lieu of a $300.00 security deposit we offer damage insurance by CSA. Instead of paying hundreds of dollars up front, simply make a one-time payment of $29.00 for coverage up to $3,000.

  • CSA Security Deposit Protection

    - Plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $3,000. Any damages that exceed $3000 will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. Certain terms and conditions apply. Full details of the Security Deposit Protection coverage are contained in the Certificate of Insurance or Insurance Policy. The Security Deposit Protection can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Mountain Laurel Chalets any amount payable under the terms and conditions of the Security Deposit Protection. Please contact Mountain Laurel Chalets directly if you do not wish to participate in this plan or assignment.

  • PAYMENTS

    – Remaining balance is due 14 days prior to arrival. If you do not wish to use the same credit card you made your reservation with you must contact us otherwise the credit card you provided will be charged automatically. We accept MONEY ORDERS, PERSONAL CHECKS, VISA, Discover, MasterCard, or AMERICAN EXPRESS. No personal check accepted less than 45 days prior to arrival. Returned checks are automatically forwarded to a collection agency with an additional $39.00 fee added for collection.

  • CANCELLATIONS

    - In case of cancellations there will be no refunds if you are inside your cancellation period. Cancellation periods are as follows: 1-4 bedrooms require a 30 day notice. 5-8 bedrooms 6 weeks notice. 12 bedrooms 12 weeks notice. If you are outside your cancellation period you will receive a 90% refund minus the service fee or 100% credit to another reservation. If proper notice is not given as indicated, the deposit will be forfeited. You will be allowed to make one change in your dates or chalet at no charge as long as you are outside your cancellation period. After that, you will be charged $ 50.00 for each additional change. No changes are allowed if you are inside your cancellation period. We strongly recommend that you purchase Travel Insurance from CSA in order to protect your vacation in case something unexpectedly happens. CHAINS OR FOUR-WHEEL DRIVE VEHICLES REQUIRED IN WINTER MONTHS IN THE EVENT OF INCLEMENT WEATHER. WE CANNOT PROVIDE ANY TRANSPORTATION FOR OUR GUESTS.

  • RESTRICTIONS

    We allow no weddings, wedding receptions, Graduation Parties, Group parties, House parties. All reservations must be made by someone at least 21 years of age who is staying in the chalet.

  • MAXIMUM OCCUPANCY

    Each chalet has a maximum occupancy which indicates the bedding accommodations and/or the limit set by the chalet owner. Anyone not complying will be asked to leave with no refund. When registering, be sure you have accurately stated the number of guests in your chalet. Tennessee Law (T.C.A., Sec. 62-7-107) provides that procuring accommodations under false pretense is a crime punishable by fine up to $500 and/or imprisonment up to 90 days. As agents, we reserve the right to refund deposit, refuse admittance and/or discontinue occupancy if, in our opinion, same is detrimental to the chalet(s).

  • CHECK IN/OUT

    – Check-in time is 3:00 P.M. or any time after 3:00 P.M. NOT BEFORE. Arrangements for late arrival must be made in advance. Every effort is made to have your unit ready on time. On high turnover days, it may be necessary to delay your check-in until your chalet is ready. Check out is 11:00 A.M. or before. Guests not departing as agreed are subject to additional charges. You will be given one set of keys at check-in. Extra keys are available with a $5.00 refundable cash deposit. All keys must be returned in order to receive deposit(s) back.

  • ACCOMMODATIONS

    – Each chalet is a privately owned dwelling with the Owner’s furnishings and neither the Agent nor the Owner will be responsible for providing any additional furnishings. Some owners have locked closets containing personal belongings. These are not included in the rental of the chalet. Should the chalet be undergoing any major repairs, or the Owner of the chalet elects to remove his property from our management, Mountain Laurel Chalets may substitute a comparable chalet at the original price if such a unit is open, or refund deposit. Agents or an authorized employee or repairman may enter the chalet during business hours for any purpose connected with repair, care, or maintenance of the chalet. No appliances, whirlpools, hot tubs, or heat/air systems are guaranteed, and there will be no refunds for failures. We try to keep these in as good working order as possible, and any failures will be fixed as quickly as possible after being reported. No refunds will be made for electrical outages or other acts of God. Under these circumstances, you may check out early, but if you stay, you will be charged full rate. Wood is available for purchase at the office and gas is provided for fireplaces from October 1st through March 31st.

    Pool Privileges:
    Guests will have membership to two area clubhouses with outdoor swimming and tennis courts. One membership card is provided per house and is good for the entire party. You will be asked to show card upon entry of the recreation area. Clubhouses are open mid-May until mid-September. Call office for exact dates. There are no lifeguards. Children 14 or younger must be accompanied by an adult. Reservations for tennis courts are suggested during the summer.

    Linens:

    All bed linens and bath towels are provided. We have a daily exchange at the office as needed. Additional bath soap, garbage bags, toilet tissue, paper towels and dish soap are also available at the office. We do not provide towels for the swimming pools; please bring your own beach towels. Firewood is available for purchase at the office. Gas fireplaces are operational between Oct. 1 and Feb 28.

    Housekeeping:

    Departure maid service is included in your rent. We do ask, however, that you leave the kitchen clean, take the trash out and lock all windows and doors. Return keys to office.

    Equipment and Furnishings:

    The accommodations are privately owned with the owner’s furnishings and neither the agent nor the owner shall be responsible for providing any additional furnishings. The condition of the units and its furnishings vary according to the taste of the owner, the age of the home and the care given by the owner. Some owners have locked closets containing personal belongings; these are not included in the rental of the chalet. Equipment failures will be restored as quickly as possible after being reported to the office.

    Wildlife:

    We have an abundance of wildlife in the mountains, including raccoons, deer, cats, squirrels and especially bear. Please DO NOT leave food out for these animals. It is for their protection as well as yours that they do not eat human food. Please enjoy the bears from a safe distance and never attempt to photograph close up or hand them food.

  • Additional provisions and conditions are outlined in the lease agreement which you will be required to sign at check-in.
